Cancellation, Refund & Transfer Policy

Thanks so much for your interest in our race events—we’re excited to have you join us! We work hard to create a great experience for every participant, but we know that plans can sometimes change. Please take a moment to review the details below so you know what to expect when registering.


A. Registration & Refunds

Once you’re registered, your entry fee is non-refundable. This applies if you’re unable to attend for any reason, including illness, injury, travel issues, or scheduling conflicts.

To give yourself extra peace of mind, we recommend considering event insurance at the time of registration.


B. Event Cancellation or Postponement

Putting on a race involves months of planning, coordination, and upfront costs—from permits and supplies to medals, shirts, and staffing. If we ever have to cancel or postpone an event, please know it’s not a decision we take lightly—we share in your disappointment.

If a race is canceled or postponed due to circumstances beyond our control (like severe weather, natural disasters, government restrictions, or public health concerns), refunds and deferrals won’t be available. These situations fall under what’s known as “force majeure.”

Your safety matters: If the event goes on in less-than-ideal conditions, it’s up to you to decide whether it’s safe for you to participate. If you choose not to race, we won’t be able to offer refunds or deferrals.


C. Deferrals

We do offer the option to defer your registration to the following year—just be sure to request it at least 14 days before race day.

  • Deferrals are valid for one year only

  • Requests made after the 14-day window can’t be accepted


D. Active Military Exception

If you’re unable to participate due to active military duty, we’re happy to offer a full refund with proper documentation (such as deployment orders). Thank you for your service!


E. Transfers

Race entries can’t be transferred to another person, event, or year. However, you can switch distances within the same event if you request it at least 5 days before race day, and if space is available.

  • Moving to a longer distance? Just pay the difference

  • Moving to a shorter distance? No partial refunds

  • All changes must stay within the same calendar year

Please don’t run a different distance without checking in with staff first.


F. Additional Details

  • Race swag: Items like shirts and bibs are only available at the event and won’t be shipped afterward

  • Event updates: Courses, schedules, or amenities may change if needed—we’ll always keep you informed

  • Policy updates: We may update this policy occasionally; any changes will be shared via email and on our website
