Event Policies, Procedures, & Rules

INSURANCE:

We have partnered with FanShield, an industry leader in registration protection. We recommend that you add this during checkout. This allows registrants to receive up to a 100% reimbursement if they are unable to attend for a variety of reasons. If unable to attend, you may file a claim. Please contact FanShield with any questions. If you purchase their insurance, they with email you additional details.

Please email info@wolfcreektrackclub.com if they approve your claim so that we know to remove your registration.

TRANSFERS:

You may transfer your entry to another registrant as long as it is before the transfer deadline (4 weeks before race day) and a waitlist has not opened.

To begin the transfer process, you (Transferor) must email info@wolfcreektrackclub.com with the full name and email address of the person you would like to transfer your registration to (Transferee). The transferee will then receive a discount code for 50% off the original amount paid by the transferor. The transferee will use the code to register at a discounted rate.

DEFERRALS:

You may defer your registration to another Wolf Creek Race Management event of the same or shorter distance. 

In order to begin the deferral process, you must email info@wolfcreektrackclub.com with the event that you would like to switch from and to. 

There will be a $50 administrative fee for a 100k, 100 mile, or 100 mile relay deferral. There will be a $25 administrative fee for a 5k or half marathon deferral.

WAIT LISTS: 

Once the Wait List is activated for a race, you will no longer be allowed to transfer your registration. You may still defer by following the process above. For every deferral, a spot opens up in the race and the next person on the waitlist will be contacted to register. If an entry is not accepted within 24 hours, the next person on the wait list will be contacted.

REFUNDS:

NO REFUNDS. We recommend purchasing race insurance through FanShield during the registration process. This will allow you to file a claim if you are unable to attend the event, and possibly receive compensation if your claim qualifies. Wolf Creek Race Management has nothing to do with this process.

RULES:

To ensure everyone's safety and to help everyone have a good time, it is important that ALL participants familiarize themselves with the following race rules:

  1. Litter - NO LITTERING! Littering will result in a lifetime ban from Wolf Creek Race Management events.
  2. Bib Number - Make sure your bib number is always clearly visible.  You can pin your bib to your shirt or pants or pack, but the entire number must be clearly visible from the front. If we cannot tell who you are as you approach, we reserve the right to stop you until you fix it.
  3. No Dropping Down in Distance – After the transfer deadline, one month out from race weekend, you can no longer switch event distances. If a 100 mile participant, drops out after completing 5 loops (62.5 miles), that participant will NOT count as a 100k finisher and will be marked in the results as a DNF.
  4. Cheating - No course cutting–always follow the marked course. It will be clearly marked with blue flags planted along the trail as well as cones with signs.
  5. DNFs - Do NOT drop out of the race without notifying event staff. Dropping without notifying the event staff, will result in a lifetime ban from Wolf Creek Race Management events. This is for safety/runner tracking so we have a complete account of who is on the course at all times. If you cross the finish line after the course time limit you will be listed as a DNF. If the course sweeper passes you, you will be listed as a DNF. You may decide to continue on, but the race will have officially ended for you and there will be no aid station assistance at that point.
  6. No Race Day Packet Pick Up – All participants must pick up their packet at the pre-race expo on Friday, March 15th.
  7. Pets - Pets are not allowed to race with you.  They can, however, welcome you at aid stations and the start/finish line as long as they are on a leash held by a spectator.
  8. Mandatory Flashlights - A headlamp, flashlight, or similar lighting is mandatory when running before daybreak and after dark.
  9. Aid Station Cutoffs - The aid station closing times are firm.  Cut-off times are departure times, NOT arrival times. If you’re not out of the station by the cut-off, your race is over. Aid station staff also have the authority to pull you from the course if it is clear that you are physically unable to continue in a safe manner. Their decisions are final, and if you refuse to vacate the course when directed, you will be disqualified.
  10. Maps - Review the maps of the course and be familiar with race trail markings. 
  11. Park Rules - Please comply with all park regulations. 
  12. Pacers - Pacers are allowed for the final 3 laps of the 100 mile (see pacer rules below).  Pacers are not allowed for the 5k, half marathon, or 100 kilometer events.

Relay Rules

Relay runners must obey all rules listed above as well as the following:

  1. Relay teams are composed of 2 - 8 runners.
  2. Relay runners do not need to declare which legs they are running. You are free to decide which legs each registered team member runs.
  3. Relay runners are asked to wear a back relay bib to be easily identified by solo runners.
  4. Relay runners should announce “Relay” when passing out of courtesy to solo runners.
  5. Exchanges at aid stations are on the honor system. There will be no formal exchange area. Once the incoming runner has entered the aid station, the outgoing runner is free to start the next leg.

Pacer Rules

  1. Pacers may not carry any aid or supplies (AKA “muling”) for their runners or otherwise assist them outside of pacing duties when not at an aid station. While at and aid station runners can assist with volunteers in helping their runners, but once the aid station is out of sight the aid must stop.
  2. Pacers must stay with the participant they are pacing and must visibly wear their pacer bib at all times. 
    Pacers must complete the online registration form (which is free).  This includes answering all required questions and signing the waiver.  Since they are registered, on-duty pacers are entitled to the same support as the registered runners.
  3. When changing pacers, be sure the bib gets transferred to the new pacer. Anyone without a bib number, or who is not a registered volunteer for that specific location will not be entitled to any of the event support.
  4. No pacers are permitted before 100k (5 loops completed).
  5. Pacers are only permitted for the 100 mile event. If any participant is paced in any other event that will result in an automatic disqualification.

Aid Station 2 & 3: (Four Seasons Pavilion): 2:00 PM Sunday (MILE 95.5)

Aid Station 4: (Brady's Run Recreation Facility): 4:00 PM Sunday (MILE 100)
